8 Red Flags in a Chinese Supplier Quotation Before You Pay
A quotation is a promise on paper. The product it describes is what the supplier actually ships — and the gap between the two is where sourcing.
📋 Executive Summary for Procurement Directors
Product: Outdoor Waist & Wearable Fan Platform
Key Finding: Significant internal construction and component quality variations exist among Chinese factories at seemingly identical price tiers.
Main Risks Identified: Inflated performance claims, unverified thermal protection circuits, and secondary component downgrades in mass production.
Buyer Recommendation: Require complete component BOM sheets, benchmark real performance in lab conditions, and verify factory golden samples before PO sign-off.
📈 Product Opportunity & Market Fit
Consumer demand in Portable Cooling & Environmental is shifting toward high-reliability, differentiated hardware. By identifying verified factory platforms with honest engineering, brands can capture higher gross margins and maintain low return rates.

8 Red Flags in a Chinese Supplier Quotation
1. Impossible or Vague Specifications
If a stated specification is physically inconsistent, the quotation is not reliable. Example: a pack advertised as 5,200mAh built from two 2,600mAh cells in series — series wiring raises voltage, not capacity. If the numbers cannot add up on paper, they will not add up in the product.
2. No Cell, Motor or Key Component Model Named
A quotation that lists "battery: 18650" without a cell model, or "motor: high-speed" without a type, leaves the most expensive components open to substitution. Insist on named models: cell brand and model, motor type, PCB grade.
3. MOQ That Moves With the Price
Check whether the MOQ changes when the unit price changes. A supplier who needs a higher MOQ to hold a price may be quoting a different (cheaper) specification at that volume.
4. Deposit Terms With No Staged Payments
Deposits between 30-50% with the balance before shipment is a common structure, but the payment schedule should be staged and tied to milestones: deposit, sample approval, production ready, shipment. A quotation that demands full payment early, or resists any staged schedule, increases your exposure.
5. Short Validity or Pressure to Decide
If the quotation is valid for only a few days, or the salesperson pushes you to confirm before you have compared offers, treat it as a signal — not an opportunity. Valid quotations give you time to compare samples.
6. No Clear Sample Policy
A quotation should state sample cost, sample lead time and what the sample fee covers. Hidden or unclear sample terms make it harder to verify anything before the bulk order.
7. Spec Sheet That Does Not Match the Sample
The real test is the sample. In one handheld fan teardown, the battery was labelled 3,000mAh and measured around 800mAh. Quotations and spec sheets can be edited; the sample is what it is.
8. No Batch Traceability
Cells and components without batch or date codes cannot be audited, recalled or traced if a problem appears later. Confirm traceability requirements in writing before the PO.
What to Do With the Red Flags
Send the quotation to your supplier and ask for: named component models, a sample, batch traceability and the documents that support the claims (see our battery pack verification guide). If the answers stay vague, that is your answer.
Reviewing quotations is the first step of our sourcing services. Send us the quotation, product link or specification sheet, and we will tell you which claims should be verified before you pay.
