Small Appliance RFQ Template: Specifications & Example
Write a clear RFQ for small appliances. Use a practical specification template and handheld fan example to compare supplier quotes before ordering.
A useful request for quotation (RFQ) gives suppliers enough information to quote the same product, configuration, and order scope.
If you send three factories a photo and ask for their best price, you may receive three prices for three different products—even when the housings look identical. One quote may include a larger battery. Another may exclude retail packaging. A third may be based on a different motor or omitted testing. This guide provides a copyable template and a completed example to ensure comparable supplier quotations.
Figure 1: Standardizing your small-appliance RFQ ensures supplier quotes are benchmarked against identical configurations and packaging terms.
What Is an RFQ for Small Appliances?
An RFQ is a structured document asking suppliers to price a clearly defined product and explain the commercial conditions of their offer. For consumer electronics and small home appliances, it should cover:
- Product specifications and intended usage context.
- Order volume tiers and specific customization scope.
- Performance requirements and verifiable test methods.
- Retail packaging, accessories, and master carton specifications.
- Required compliance documents and test certificates.
- Sample arrangements, tooling charges, and production timelines.
- Price basis (Incoterms, named port), payment terms, and exclusions.
An RFQ does not replace an approved product specification or purchase contract. Its primary objective is to make differences visible before you pay for samples or commit to an order.
1. Define the Product and Intended Use
Start with what the product must do and who will use it. "Rechargeable fan" is too broad—a fan for occasional indoor desk use requires different airflow, noise limits, and battery capacity from one intended for prolonged outdoor summer sports.
2. Separate Requirements from Supplier Proposals
You do not need to know every internal engineering detail before requesting quotes. However, you must categorize each specification into one of three statuses:
- Required: Mandatory. The supplier must meet this exact target or explicitly flag a deviation.
- Preferred: Desired baseline, but you are open to factory standard alternatives to lower tooling/MOQ.
- Supplier to propose: You want the factory's engineering recommendation based on their proven platforms.
3. Make Performance Requirements Measurable
Vague adjectives like "high quality," "ultra quiet," and "strong airflow" cannot be enforced or compared. Replace them with explicit verification metrics:
Formula: Metric → Operating Conditions → Acceptance Criterion → Required Test Evidence
4. Ask for Critical Component Details
You do not need a factory's confidential internal margin, but you must identify core cost and reliability drivers:
- Motor Specification: Coreless, brushed carbon, or brushless DC (BLDC) motor model, rated RPM, bearing type (sleeve vs. dual ball bearing).
- Battery Cell: Grade A vs. recycled cell, true mAh capacity, BMS protection IC manufacturer.
- Plastics & Finish: Virgin ABS vs. recycled regrind, surface texture (matte, rubberized, gloss).
5. Itemize Commercial Inclusions & Quantity Tiers
A supplier's MOQ often varies across different customization levels (e.g., MOQ 500 pcs for neutral product, but MOQ 1,000 pcs for custom color boxes, and MOQ 3,000 pcs for custom injection colors). Always ask for price breaks across realistic ordering tiers:

Supplier Quote Comparison Matrix
Normalized comparison table when evaluating responses from three Chinese factories:
| Evaluation Dimension | Supplier A | Supplier B | Supplier C |
|---|---|---|---|
| Quoted Unit Price (1K pcs) | $2.45 (FOB Ningbo) | $3.10 (FOB Shenzhen) | $2.85 (FOB Ningbo) |
| Motor Architecture | Brushed motor (unnamed) | Brushless (BLDC), 3-speed | Brushless (BLDC), 3-speed |
| Battery Cell Included | 1,200mAh (Generic) | 2,000mAh (Grade A cell) | 1,800mAh (Certified cell) |
| Custom Retail Box | Excluded (+$0.35/pc) | Included in base quote | Included in base quote |
| True Comparable Cost | $2.80 (Incomplete spec) | $3.10 (Full spec) | $2.85 (Best value) |
Analysis: Supplier A appeared $0.40 cheaper initially, but excluded packaging and used an inferior brushed motor and smaller battery. Normalizing via the RFQ matrix revealed Supplier C as the most viable procurement partner.
6 Common Small-Appliance RFQ Mistakes
- Sending only a reference photo: Fails to define battery capacity, motor type, or plastic resin grades.
- Asking for "Best Quality at Lowest Price": Guarantees generic quotes that omit essential testing and packaging.
- Postponing packaging discussions: Discovers unexpected $0.30–$0.60 box upcharges and high box MOQs late in development.
- Assuming all factory numbers are comparable: Airflow and noise claims must be normalized against identical testing distances.
- Treating a quotation as proof of performance: An RFQ is an initial pricing baseline; real physical sample teardowns are required to verify claims.
